Yes, with 48+ hours advance notice and our approval, you can transfer your Orlando podcast studio reservation to another podcaster, business partner, colleague, or co-host. This flexibility helps when your plans change but someone else in your network can use the valuable studio time—and it's often better than canceling outright since your deposit applies to the transferee's session.
Transfers work particularly well for podcast networks, businesses with multiple team members creating content, co-hosted shows where hosts can substitute for each other, and Orlando podcasting communities where creators help each other maintain consistent production schedules when conflicts arise.
Allowed Transfer Scenarios
Business Partner or Colleague: You booked studio time but your business partner needs to record their portion of a joint project, or a colleague is recording a company podcast episode while you handle other priorities.
Co-Host Taking Over Session: Your podcast co-host can use your booking to record a solo episode, interview a guest while you're traveling, or continue the show during your temporary absence.
Another Podcast from Your Network: If you run multiple podcasts or manage a podcast network, you can transfer time from one show to another under your umbrella.
Transfer to Future Date (Yourself): This is technically a reschedule rather than transfer, but you can move your session to a different date/time subject to availability and our cancellation policy timeframes.

How to Transfer Your Reservation
The transfer process protects both parties and ensures smooth transitions:
Step 1: Email Request (48+ Hours Before)
Send transfer request to studio@garlicvideo.com at least 48 hours before your scheduled session time. Include your booking confirmation number, original session details (date, time, length), transferee's full contact information (name, email, phone), and brief explanation of transfer reason (helps us understand usage patterns).
Step 2: Transferee Confirmation
We'll contact the person receiving the transfer to confirm they accept the session, agree to our studio terms and policies, understand the session details and what's included, and acknowledge responsibility for the balance payment due on session day.
Step 3: Deposit Application
Your original deposit automatically applies to the transferred session. The transferee pays the balance (remaining 50%) on the day of their recording. You receive no refund of your deposit, but you also don't lose it if the transfer completes successfully.
Step 4: Confirmation
Both you and the transferee receive email confirmation of the successful transfer including updated booking details under their name, arrival information and studio access, and clarification of payment responsibilities.
Transfer Restrictions and Rules
48-Hour Minimum Notice: Transfers requested with less than 48 hours notice are declined. This timing allows us to communicate with the transferee, update our systems, and prepare properly for a different podcaster's needs.
One Transfer Per Booking: You cannot transfer the same reservation multiple times. Once transferred, the new holder cannot transfer it again—they must cancel if needed, subject to our standard cancellation policy.
Transferee Must Agree to Terms: The person receiving the transfer must explicitly accept our studio policies, liability waiver, and booking terms. They cannot transfer a reservation they haven't formally agreed to use.
Peak Season Restrictions: During high-demand periods (December holidays, summer peak, conference weeks), we may limit transfers to maintain fair access. Members typically have fewer restrictions even during peak times.
Members-Only Slots Stay Members-Only: If you're a member using your membership hours/benefits, you can only transfer to another member or someone willing to pay the non-member rate difference.
Deposit Handling and Payment
Understanding financial aspects of transfers prevents confusion:
Your Deposit Application: The 50% deposit you paid when booking applies to the transferred session. You won't get it back, but it covers the transferee's deposit requirement so they only pay the remaining balance.
No Refund Scenario: If the transferee cancels or no-shows, you don't receive a refund. The standard cancellation policy applies to them, meaning credits or refunds (if any) go to them, not you.
Credit if You Rebook: If instead of transferring, you cancel and receive studio credit per our cancellation policy, that credit stays with you for future bookings—this is sometimes better than transferring if you're unsure the transferee will actually use the time.
Member vs. Non-Member Pricing: If a non-member transfers to a member, the member gets their membership pricing. If a member transfers to a non-member, the non-member pays standard non-member rates for any differences.
Membership Transfer Capabilities
Members have additional transfer flexibility:
Team Member Sharing (Creator Tier+): Creator, Producer, and Pro members can share membership hours with designated team members without formal "transfers"—just notify us who's using the studio and they can book directly under your membership.
Guest Passes: Creator tier and above receive guest passes allowing one-time studio access for partners/collaborators at member rates.
Emergency Temporary Transfer: Members facing emergencies can temporarily transfer their membership slot to a colleague for 1-2 sessions with advance approval—particularly valuable for recurring weekly bookings.
What Cannot Be Transferred
Certain situations prohibit transfers:
Within 48 Hours: Too little notice for proper coordination and preparation.
To Commercial Competitors: We won't facilitate transfers to competing podcast studios or production companies.
After Editing Services Started: Once we've begun editing or post-production on your behalf, the booking cannot be transferred because work has commenced under your name.
Across Fundamentally Different Projects: Transfers should maintain similar studio usage. You can't transfer a 2-hour audio podcast booking to someone wanting 8-hour video production without rebooking.
